    Job Summary

    The Assistant/Inventory & Receiving Clerk is responsible for providing administrative and inventory support for Advocacy, Communications and Wellness.

    In addition, this position will support the entire department with reception, clerical and administrative functions to ensure the daily operations are running efficiently.


    Job Functions, Duties and Responsibilities

    • With supervisor’s approval, order supplies from designated vendors
    • Maintain accurate inventory records to include ---
      • Receive and record supply shipment
      • Restocking supplies in main storage area and Advocacy area at the Culinary Health Center
      • Collect and fill supply requisitions; deliver items to the department
      • Use of tracking system (via database, and inventory tracking devices/software)
      • Count, weigh, or measure items of incoming shipments in order to verify information against invoices, orders, or other records
      • Examine and unpack incoming shipments; record shortages and reject damaged items and handle returns
      • Trace and track shipments to ensure timely delivery
      • Perform regular material audits to ensure that material is undamaged, unexpired and maintained neatly throughout the facility
      • Advise management of cycle count issues on a timely basis per department guidelines
      • Keep the storage area neat, organized and stocked; including Building C entry
    • Processing incoming and outgoing daily mail timely
    • Distributing e-faxes timely to wellness and advocacy departments
    • In a professional manner greet visitors by:
    • providing information on wellness programs and other information a participant or employee may need
    • maintaining sign-in log ensuring that only appropriate visitors are granted entry into Fund’s secure building(s).
    • Serve as a runner, providing necessary materials to the Culinary Health Center, Union, Customer Service, Pharmacy, and offsite events
    • Provide administrative support: general clerical duties and data entry (HRAs, Opt-ins etc.)
    • Support Advocacy, Communications, and Wellness departments in assigned project based work
    • Support Wellness by organizing materials for the setup of the respective classes.
    • Work all events whether onsite or offsite (i.e. Back to School, Spring Health Fair, Enrollments etc.) by:
    • assisting with overseeing temporary staff
    • preparing all materials necessary for the event
    • working with couriers to ensure delivery of all material
    • Other duties as assigned within the scope of responsibilities and requirements of the job

    Skills and Abilities

    • Basic math skills required and ability to work with numbers and product codes
    • Strong written and oral communication skills needed to communicate effectively in English
    • Bi-lingual Spanish preferred
    • Basic computer skills and spreadsheet knowledge required
    • Experience with PC software and/or other systems
    • Excellent organizational skills
    • Manage competing deadlines and multiple projects in a fast-paced environment
    • Work long hours when needed

    Essential Qualifications

    Education: High School Diploma /or GED

    Minimum Experience:

    • Minimum 2 to 3 years’ experience material handling/or inventory
    • Previous administrative and/or secretarial experience required
    • Familiarity with a managed healthcare organization desired

    • Must be able to and capable of heavy lifting, bending, stooping, standing, walking, kneeling, and climbing stairs, for eight (8) hour shift.

    • Must be capable of distance vision, color vision, peripheral vision, and depth perception.
    • Must be capable of hearing within what is considered a normal range.
    • Must have own vehicle with valid NV driver’s license
